Switch from QuickBooks
Move your books from QuickBooks Online without starting over.
Connect your QuickBooks Online company, pick a cutover date, and Summely brings across your accounts, customers, vendors, products and transactions, then compares its trial balance with QuickBooks', account by account.
The importer is included in every plan and in the 15-day free trial.
How to migrate from QuickBooks Online.
- 1. Connect your company. You sign in at Intuit and choose the company. We never see your QuickBooks password.
- 2. Choose a cutover date. Transactions dated from that day on come across in full, along with the invoices and bills still open on it.
- 3. Pick what to bring. Everything, or only the groups you want. Your chart of accounts is matched to QuickBooks rather than replaced.
- 4. Check the numbers. Compare the two trial balances account by account. Every difference is shown, and nothing is rounded away.
- 5. Review what was left behind. The import log lists every record that did not come across and why, so a finished run never hides a gap.
- 6. Run it again. Keep working in QuickBooks while you move. Each run brings what is new and retries what was skipped.
What comes across.
- Chart of accounts. Your accounts, matched rather than replaced. Nothing is deleted.
- Customers and vendors. Names, contact details, addresses and payment terms.
- Products and services. Your catalog, ready to use on the next invoice.
- Inventory on hand. The stock you held at cutover, opened as FIFO layers.
- Classes and locations. Kept on the documents that carried them.
- Sales tax rates. So imported documents keep their sales tax.
- Open receivables and payables. What customers and vendors still owed at cutover.
- Sales documents. Estimates, invoices, credit memos, sales receipts and refund receipts.
- Bills and expenses. Bills, vendor credits, purchase orders, expenses and bill payments.
- Payments and deposits. Customer payments, and deposits including money paid straight into the bank.
- Journal entries. Your manual entries, with their lines.
What does not come across.
Better you hear this now than find it after you move.
- Documents before your cutover. They stay in QuickBooks, apart from invoices and bills still open at cutover. Keep your access or an export for your records.
- Payroll and employees. Employee records, payroll and time entries are never read. We chose not to fetch data we have no use for.
- Vendor tax identifiers. Never imported. Add them in Summely if you track 1099s.
- Bank connections. Connect your bank again in Summely.
- Attachments and recurring templates. Neither is imported today.
- Unusual documents. Some shapes are refused rather than guessed at, such as a deposit linked to a refund receipt. Each one is listed in the import log with its reason.
- Later edits. A transaction edited or deleted in QuickBooks after it was imported does not update here. New ones do come across.
- QuickBooks Desktop. The importer reads QuickBooks Online only.
Questions about switching.
How long does it take to move from QuickBooks?
Most of the work is choosing a cutover date and checking the result. The import itself runs in the background, and how long it takes depends on how many transactions your company has.
Can I keep using QuickBooks while I switch?
Yes. Your QuickBooks company is only read, never changed. Run the import again whenever you like and new transactions come across, so you can move over at your own pace.
Will a second import duplicate my transactions?
No. Every record is tracked by its QuickBooks id, so a re-run skips what already arrived.
What happens if I edit a transaction in QuickBooks after importing it?
Today that edit does not follow. A re-run brings new transactions and retries skipped ones, but it does not update or remove a transaction that already came across. Once something has been imported, change it in Summely.
Can I import from QuickBooks Desktop?
Not today. The importer connects to QuickBooks Online.
Does Summely see my QuickBooks password?
No. You sign in at Intuit and approve the connection there. You can disconnect at any time, and anything already imported stays.
